If you’re a Canadian resident who needs to use official documents in China — a Power of Attorney for a real estate transaction, a degree verification, a birth certificate — the process became significantly simpler on January 11, 2024. China officially joined the Hague Apostille Convention, eliminating the need for consular authentication.
An Apostille is a standardized authentication certificate issued under the 1961 Hague Convention. It verifies the authenticity of the signature and seal of the official who signed the underlying document (a notary, lawyer, or government official). Once an Apostille is attached, the document is accepted in any of the 125+ member countries without further authentication.

How to Apply via Ontario ODS
Ontario Official Document Services (ODS) is the sole authority for Apostilles in Ontario. Visit: ontario.ca/page/official-documents-services
Fees: ~$35–50 per document (add courier fees for mail-in). Processing: Standard 10–15 business days; Expedited 3–5 business days.
Translation note: If the receiving Chinese institution requires a Chinese translation, it must be done by a Certified Translator — and the translation itself typically needs its own notarization + Apostille.
Practical Tip
Always confirm requirements with the end-user institution in China (employer HR dept, notary office, court, etc.) before starting the process — some have specific format requirements. Police clearance certificates typically have a 6–12 month validity period, so use them promptly after obtaining the Apostille.
